POSITION PURPOSE: The Executive Assistant to the CEO will play a crucial role in ensuring the CEO's effectiveness and smooth operation of the organization. This role requires exceptional organizational and communication skills, the highest degree of discretion, and a strong commitment to our mission. This role provides administrative services and coordinates office functions, schedules, performs specialized/technical duties, and various other tasks as directed by the CEO.


Core Job Responsibilities

Executive Support:

  • Provides comprehensive administrative support to the CEO, including managing calendars, scheduling meetings both internal and external, and handling travel arrangements.
  • Prepares and edit correspondence, reports, and presentations.
  • Conducts research in support of CEO/President's responsibilities, including compiling, preparing, and generating various reports.
  • Maintains all donor records in Salesforce.

Communication:

  • Serves as a point of contact for the CEO and internal/external stakeholders, including staff, board members, partners, and donors.
  • Manages and prioritizes emails, phone calls, and correspondence.
  • Communicates efficiently with others, particularly with staff who report directly to the CEO (includes members of Leadership Team, Operations Team, and Development Team).

Meeting Coordination:

  • Beyond scheduling, will also help create agendas, prepare and distribute meeting packets, and follow up on action items after a meeting. May also contribute to the creation of presentation slides.
  • Facilitates coordination of all Board of Directors and Board Committee meetings - take minutes, ensure quorum, track attendance, technology/room setup, and keep an accurate record of the business conducted.

Facility Management:

  • Ensures all building/facilities operations run smoothly- works back with property manager in a timely manner with any maintenance concerns.
  • Helping with some IT functions (printers, postage machine, phones).

Special Projects:

  • Assists in special projects and initiatives as directed by the CEO, which may include research, data analysis, and presentations.
  • Works closely and as needed with other staff who report directly to the CEO.

EDUCATION & RELATED WORK EXPERIENCE

Education and Experience

  • Minimum of 3-5 years of experience in Executive or Administrative support.
  • Strong project planning, organizational and time management skills; able to manage multiple key projects simultaneously in a fast-paced environment.
  • Strong interpersonal communication skills and demonstrated ability to write clearly and persuasively.
  • Proven track record of handling a high level of discretion and integrity.

Qualifications

  • Strong solution-oriented problem-solving skills.
  • Strong planning and organization skills.
  • Excellent communication skills, including writing and proof-reading skills.
  • Ability to manage multiple projects and work with a variety of staff.
  • Strong interpersonal skills with an ability to teach and respond to others' needs.

Work Environment/Physical Requirements

  • Technology/computer skills needed. Proficient in the following platforms: MS Office Suite (specifically Word, Excel, & Teams); Outlook and Zoom. Experience using data management systems is required. Must have comfort with learning new cloud-based applications.
  • Flexible work hours to meet the needs of team members, schools, and community partners, including occasional nights and weekends.
  • Must have reliable transportation, valid driver's license, and meet state required automobile insurance minimums.

Compensation and Benefits

  • Salary will be based upon professional and academic experience.
  • Immediate and 100% employer-paid coverage on employee health and dental insurance.
  • Life insurance, short-term and long-term disability insurance following the first ninety days of employment.
  • 401(k)–3% match per year following first year of employment.
  • .625 cents reimbursement on business miles and 100% of out-of-office parking for business meetings, etc.
  • Employer paid daily parking in covered garage.
  • After 90 days staff will receive 5 days of paid vacation and 10 days of paid vacation after one year of service.
  • Accrue 1 day per month of sick leave (can also be used for family illnesses)–can carry up to 30 days of sick leave.
  • 2 personal days per year following the first ninety days of employment.
  • Annual raises based on performance, culture and agency's ability.
  • 11 paid holidays.
